Laure Hocquet, responsible for the multimedia project, in charge of the digitalisation of the Musée of Grasse’s Inventory and the Micromusée administrator explains the task of transferring data from The “Musée International de la Parfumerie”.
The conservation of the Musée of Grasse is headed by three museums: The “Musée d’Art d’Histoire de Provence”, The Villa-Musée Jean-Honoré Fragonard” and The” Musée International de la Parfumerie”. The”Musée d’Art and d’Histoire de Provence” recounts the history of Provence from ancient days using several varied collections: archaeology, ethnology, furniture, costume, ceramics, fine art, etc.
The “Villa-Musée Jean- Honoré Fragonard”, a fine art museum, presents the works of the painter Jean-Honoré Fragonard and other members of his family; Alexandre-Evariste, Théophile Fragonard and Marguerite Gérard. Paintings, drawings, watercolours, engravings, etc.
The “Musée International de la Parfumerie”, closed since 2004 for major redevelopment and extensions will reopen its doors in the autumn of 2008. It will present the first collection in the world that is entirely dedicated to perfume, from the most ancient times to today, from all five continents and according to the three key notions of communication, healing and seduction.
The extensive improvements to the “Musée International de la Parfumerie” necessitated important work on the collections and on the Inventory.
An important aspect of this work was the computerisation and the transference of scattered data to our MUM database:
o Digitization and creation of a database for the perfume labels (around 9 600 different designs)
o Computerisation of the manual Inventory concerning the 20th Century collections of perfume bottles (more than 5000 objects)
o Repatriation and conservation of data from documentation software that had become obsolete. (3 700 records)
Finally, more than 18 000 records were imported using Micromusée and Mobytext.
The difficulty of the project resided in the disparity of the data, files in different formats (Excel, Access) that needed to be harmonised, double entries, etc.
The transference and the integration of data from our previous documentation software were particularly delicate. Numerous exchanges with the Mobydoc team were necessary to analyse all the files and to prepare the work that was to be transferred.
Within the museum, 2 people collaborated to organise the project.
Already being users of Micromusée, we have invested in Mobytext (via the MUM) to integrate data from our documentation software.
